Serves as assistant and reports to Executive Director
Performs a wide variety of administrative tasks in support of the Executive Director, Board of Directors, and Committee Chairs.
Provide administrative support including filing, making copies, mailings, and other general administrative functions.
Receives and handles telephone calls, incoming mail, and other correspondence and drafts own responses based on knowledge of the organization's policy, procedures, or particular situation.
Responsible for schedule management, office management, communication liaison, information preparation, company records management, data analysis, and representing the Executive and Association to others.
Handles confidential information and communications with sensitivity.
Maintains office equipment and supplies and restocks when necessary.
Coordinates and schedules meetings for multiple committees, including making catering arrangements as needed.
Assists with any special projects or requests.
Monitors accounts receivable, taking payments over the phone and online, compiling invoice lists, records received payments.
Update and maintain membership records, membership files for new and existing members, membership logs/reports.
Updates and maintains information and content on ACEA Website using WordPress.
Assists with coordination of the Scholarship program including distributing application and related materials to counselors and members, tracking student applications, and follow up correspondence with applicants.
Assists in the planning and execution of both small and large-scale events.
Assists in the development of event materials such as programs, credentials and signage.
Helps with day-of event management and event and sponsor/exhibitor set-up and breakdown.
Provides post-event recaps and notes with committee/volunteers.
Occasional need to work after regular business hours and on weekends for special events.
Proficient Microsoft based computer skills.
Proficient with WordPress.
Ability to handle multiple projects simultaneously.
Effective communicator, energetic, intelligent, professional maturity, problem solving skills, well organized, sound judgement, great attention to detail, proofreading, plus have a strong work ethic.
Association experience a plus.
Some college (preferred).
Ability to work at employer’s office.
Telecommuting is allowed.
