The Department of Mathematics and Statistics consists of 37 full-time faculty and staff, 20 part-time adjunct faculty, 30 fully supported graduate students and 50-60 hourly student employees. The Department works with a very large number of students as most UMBC programs have a requirements for courses in mathematics.
The Administrative Assist II will provide clerical and administrative support for the Department of Mathematics and Statistics. Specific responsibilities include:
Serves as the primary contact for visitors
Monitors RT system for requests and completes/forwards requests to appropriate faculty/staff
Receives and screens departmental mail, phone calls and visitors
Maintains paper and electronic filing systems to meet requirements and security
Responsible for all procurement within the office, including supplies and non-computer equipment, using PAW, P-card or D-card; Follows up on receiving receipts and uploads them to PAW or other systems as necessary
Serves as P-card custodian
Processes requests for travel from faculty and staff, assists with travel arrangements and submits reimbursements
Maintains and updates department spreadsheets for hourly students and adjunct faculty and initiates contracts each semester
Requests, maintains and updates Departmental Syllabus and Guidance files, including identifying and requesting any missing materials
Maintains Departmental key inventory, including tracking key supply, lending keys and retrieving keys not in use
Maintains, supervises and resupplies Departmental lending library, including using a database to track inventory and liaising with publishing houses to maintain supply
Monitors work of part-time clerical and student staff, including establishing priorities, training and working with supervisors to evaluate progress and performance for future hire
Monitors Departmental rooms for damage and requests maintenance through the AIM system
Under the supervision of the Program Coordinator, uses PeopleSoft to grant course permissions and assist with inquiries and projects related to undergraduate and graduate programs within the Department
Coordinates administrative activities involved in supporting undergraduate and graduate student employees, including creating and sending online evaluations of TAs each semester and approving the listing of faculty to be sent yearly SEEQ evaluations
Attends on-campus new student orientation to provide course permissions and support
Attends and assists with Departmental Graduate Orientation for all new and current graduate students within the Department
Plans and coordinates administrative activities involved in organizing Departmental lectures, conferences, seminars, workshops, symposiums and other special events
Assists in the design edits and drafts for marketing and other printed materials by coordinating their printing and publishing accordance with University guidelines
Requests updates for and monitors information on the Departmental website
Creates and updates forms for Departmental use, including templates for DocuSign forms
Other duties as assigned
Required Minimum Qualifications:
High School Diploma or GED
3 years experience providing administrative support
General knowledge and skill in standard office practices and procedures
Ability to understand and follow verbal and written instructions
Ability to communicate diplomatically and effectively with diverse populations of students, staff, faculty and visitors.
Skill in various computer software packages and a willingness to learn new software
Familiarity with the PeopleSoft, REX and PAW programs and the ability to interact with them and pull information and reports.
Ability to plan, organize, prioritize and execute multiple and continuing assignments with general instructions
Ability to remain calm under pressure and respond quickly to new challenges
Familiarity with UMBC's financial and personnel policies and restrictions
