ADMINISTRATIVE ASSISTANT, LIFELONG KINDERGARTEN , Media Lab , to manage multiple projects and provide complex administrative support for a professor, three senior research staff, and approximately fifteen researchers (staff and students) within a research group dedicated to providing creative learning experiences for children around the world. Responsibilities include monitoring financial activities, e.g., assisting with budget preparation, reconciling expenses, arranging reimbursements, purchase orders and contracts, accounts payable, records maintenance, etc.; assisting with production of grant proposals and progress reports to government agencies/corporations/private foundations, developing detailed budgets and spending reports, serving as primary administrative liaison to subcontractors on grants, managing post-award and administrative items, monitoring adherence to contract provisions, and closing out contracts; ensuring faculty and staff are aware of timetables, deadlines, and reporting responsibilities; scheduling research demos; providing logistical, planning, and administrative support for meetings, events, and conferences; managing travel for faculty, researchers, students, and event speakers/guests; serving as a general hub of information for research group; and performing a variety of other administrative duties, e.g., coordinating space, website maintenance, maintaining supplies, correspondence, etc.
Job Requirements REQUIRED : high school diploma or its equivalent; three years' experience as an administrative assistant to senior managers; strong financial skills; meticulous attention to detail; excellent organizational, interpersonal, and verbal and written communication skills; proficiency with MS Office, especially Word and Excel; and sound judgment. Must be able to interact effectively with a diverse group of people; work independently and as part of a team; and manage multiple projects in a fast-paced, deadline-driven environment. PREFERRED : bachelor's degree; experience with sponsored research grants; and knowledge of business applications (e.g., SAP, Concur, Buy2Pay), Google apps, and iOS computing. Job #19888-5
