The role of Administrative Assistant for Mpowering My Success is to provide a variety of support to the program and to the Life Skills Coach. This role is an important position for Mpowering My Success as it keeps the program running smoothly. Overall the administrative assistant should be interested in providing quality support to students at UM-Flint who have experienced time in foster care. An Administrative Assistant for Mpowering will have great communication skills to facilitate success between the program, the coach, the larger UM-Flint campus, and the community. This person should be interested in learning about the intricacies of the foster care system and the impact on students at UM-Flint who have experienced time in foster care. This position works very closely with the Life Skills Coach for the program; an ideal candidate will have great interpersonal skills and be flexible with daily duties depending on student needs. This position also provides an opportunity to present Mpowering My Success' information in community settings; being comfortable with small presentations and tabling will be important for the role of Administrative Assistant with Mpowering My Success. Being comfortable with both Google Drive, Microsoft Works, and databases will be beneficial for grant reporting and monthly billing, as these submissions are an important function of the position. **This is a grant-funded position funded through 9/3/22, pending additional funding.**
Coordinate Office Administration
-Work with MDHHS to verify all mentors and staff are cleared through Child Abuse/Neglect Central Registry
-Submit monthly Concur reports
-Order/maintain office supplies
-Check/respond to program email
-Maintain social media pages (Facebook, Instagram)
-Support with monthly State of Michigan reporting
-Use Banner for pulling monthly Query lists for potential eligible students
-Coordinate meetings with state of Michigan contact regarding audits and grant reports
-Represent Mpowering at various local and state initiatives (with or without the Living Skills Coach)
-Provide program presentations to local agencies for recruitment purposes
-Coordinate with MYOI agencies across the state to bring youth to campus for visits
-Coordinate with foster care workers to set up individual potential student visits
Supporting Program functions/events
-Coordinate mentor outreach and trainings for Mpowering’s program mentors
-Request access and approals (sp.) for program’s monthly workshops
-Complete various surveys and document attendance after each monthly workshop
Attend regularly scheduled meetings to represent program, both intra and inter agency
-Attend Genesee County specific meetings in order to maintain association of program with other local agencies
-Particiapate in all Fostering Futures initiatves and meetings
-Attend Higher Education Consortium meetings if Living Skills Coach cannot attend
-Attend monthly/weekly various campus committee meetings
-Attend/coordinate meetings with Mott Community College’s foster care program
Other duties as assigned
Minimum of 3 years experience supporting or providing administrative services related to foster care services within a foster care system or higher education
Demonstrated excellent budget management skills
Excellent interpersonal, customer service and problem-solving skills
Advanced computer skills, particularly using Microsoft Office software as well as other databases, e-mail and electronic calendaring systems.
Experience using various social media platforms
Must demonstrate excellent communication skills – written and oral presentation skills
Ability to work independently and as a team member to set priorities and handle multiple assignments and competing deadlines.
Ability to work on diverse projects simultaneously.
Ability to multi-task and adapt to changing demands and priorities.
Must handle information and data with confidentiality and sensitivity
Strong attention to detail.
