The Administrative Assistant II will report to the Office of the Provost and serve as an initial point of contact for the Office. The incumbent is expected to demonstrate exceptional customer service skills, tact, discretion and the ability to communicate and interact effectively with the Provost's Office staff as well as various administrators and staff at all levels.
Specific duties include:
Providing administrative support to the Vice Provost for Academic Affairs and the Associate Provost for Academic Affairs, including: calendar management, mail distribution, coordinating travel arrangements and coordinating on-campus meetings
Serve as the P-Card holder for travel related purchases, including P-Card reallocation; maintaining P-Card records per State of Maryland and University guidelines; P-Card quarterly reporting for department
Processing reimbursements and financial transactions
Coordinating department physical and computer needs
Ordering department supplies
Coordinating repair calls for department
Administration of consulting reports for department
Administration of Centers and Institutes annual reports
Assisting with hiring processes
Maintaining Blackboard sites
Providing back-up support to the administrative staff
Performing other duties as assigned
Required Minimum Qualifications:
High School Diploma or GED
Three (3) years of experience providing administrative support
Must have excellent verbal and written communication and customer service skills
Experience coordinating travel arrangements
Experience coordinating financial reimbursements
Experience coordinating meetings and events
Experience with computer programs such as Word, Excel, PowerPoint, Blackboard and Publisher
Experience greeting guests
