Piedmont Virginia Community College (PVCC) is a nonresidential two-year institution of higher education that serves Central Virginia - principally residents of the City of Charlottesville and the counties of Albemarle, Buckingham, Fluvanna, Greene, Louisa and Nelson. Our scenic campus is located in Albemarle County, Virginia. We are one of 23 community colleges in Virginia that comprise the Virginia Community College System (VCCS).Thomas Jefferson Adult and Career Education (TJACE) at Piedmont Virginia Community College is seeking an Operations Supervisor to provide leadership in customer service, enrollment, registration, data management, onboarding and all operational tasks to support TJACE offerings. This position serves as a member of the TJACE leadership team and works collaboratively with the TJACE director, specialists and teachers as well as college and community partners. This position supervises part time administrative assistants, has team leadership responsibilities and high interaction with the public and other offices within the college. Duties and Responsibilities:Manage the day-to-day operations of customer service, student registration, fee collection, enrollment/onboarding, data management, instructional support, staffing and staff development, procurement, grant and records compliance.Oversee maintenance of accurate and timely program, student, enrollment, attendance, course, financial, and credential records; prepare and distribute reports as needed.Recruit, train, mentor and evaluate staff.Mentor staff in provision of excellent customer service for students,businesses/organizations and community partners. Resolve student enrollment issues efficiently and communicate resolution/needs across the team.Lead team in developing, implementing and evaluating processes to facilitate student access and retention, and align with best practices, policies and initiatives.Supervise operations team to ensure accuracy and timeliness of contracts, payroll equipment/supply procurement, grant compliance and reporting, and other operational processes.Monitors and attends to facility and equipment needs at the adult learning center.Assist leadership team in monitoring course enrollment, attendance, completion and credentialing.Assist leadership team in monitoring instructor recruitment and on boarding.TJA Works closely with the Virginia Department of Education to ensure compliance with state and federal grants requirements. Adheres to college policies.Support partnerships in the community and across the college to recruit students, share facilities, and collaborate on events both on campus and at various offsite locations.Serve on division, college, community and statewide committees and project teams as needed.
Bachelor's degree or equivalent combined education and experience.Effective oral and written communication skills.Effective collaborative problem-solving skills.Excellent organizational skills and attention to detail.Proficient in use of Microsoft Office.Proficiency with a student information system (i.e. PeopleSoft, WES, Banner)Demonstrated commitment to community college philosophy and student success.Demonstrated ability to work effectively both independently as well as part of a team.Strong interpersonal skills to help engage, provide support to, and motivate students and staff.Excellent customer service skills; to include the ability to effectively follow up and follow through.
