Advising and HR Operations Coordinator

Position Summary

The Office of the Associate Provost for Undergraduate Education is seeking an individual to administer the Human Resources within APUE as well as manage the operations of the Advising unit. This individual will serve as a liaison between units and central HR and will manage and coordinate HR and financial tasks and interpret and implement HR and fiscal policies and procedures. The duties for this position are summarized below.

Analyze need and make recommendations to post and fill full-time support staff and FAS positions based on a diverse perspective. Serve as a resource at the MAU level for units to resolve complex issues in the administration of HR functions. Collaborate with administrators, unit directors, and fiscal officers to answer questions, make recommendations, and implement solutions for issues that may arise around personnel issues. Work with support staff to clarify expectations and distribute and manage workloads. Assess support staff skill sets and develop pathways to improve them.

Advise on raise processes and procedures. Possess expertise and create efficient processes and workflows to manage HR transactions such as terminations, changes of status, reappointments, and re-classifications. Oversee annual HR processes, including reappointments and grad and summer hires. Oversee processing of additional payment and special pay forms.

Serve as lead for HR and Advising initiatives. Create and implement on-boarding and off-boarding procedures for employees, including training, equipment setup, requesting access, and professional development. Create and implement improved processes by leveraging technology for collecting and tracking data, e.g., to trace staff compliance with required trainings and ensure that staff evaluations are up to date.

Work with advisors to develop policies and procedures to ensure operational efficiency with regard to the day to day operational needs of the unit. Coordinate communications, events, and resources to support the Advising unit. Maintain confidentiality and use discretion with sensitive information and interactions. Collate data on advising trends, analyze, report results, and make recommendations.

As FO for Advising, serve as a content expert on university procedures and protocols for processing transactions. Analyze trends and make recommendations on how best to structure accounts, budgets, reports, and accounting string coding. Ensure that transactions are compliant with both university procedures and policies. Resolve transactional conflicts through the use of creative problem-solving. Coordinate the monthly reconciliation of accounts. Pull data and provide monthly reports to advising stakeholders. Monitor expenses and project balances.

Unit Specific Education/Experience/Skills

Knowledge equivalent to that which normally would be acquired by completing a four-year college degree program in a business-related field or in a field which corresponds to the particular department of employment; one to three years of related and progressively more responsible or expansive work experience in office procedures, or in performing responsibilities related to the operational activities of the employing unit; experience with word processing, database, spreadsheet, presentation software and/or desktop publishing, web page software; or an equivalent combination of education and experience.

Desired Qualifications

Proficiency with Microsoft Excel software, including the ability to manipulate data via queries and pivot tables; experience with EBS functionality and reporting; experience with budget development, as well as SAP transactions; knowledge of MSU business policies and procedures and of human resources processes, strong multi-tasking abilities and organizational skills; strong communication skills, demonstrated productivity; strong work ethic and time management skills; and a collaborative approach.
