Albright College is seeking applications for an Administrative Assistant for the President’s Office. Reporting to the Executive Assistant to the President, the Administrative Assistant provides all administrative and clerical support for the president and additional clerical support to the office of the president. The Assistant is responsible for greeting visitors, answering calls, and scheduling the President's travel plans. The position works a flexible schedule based on the operational needs of the College and the schedule of events. The Assistant aids the Executive Assistant to the President in a variety of roles including administrative and clerical responsibilities associated with the Office of the President.
Essential Job Functions:
- Clerical Responsibilities
- Opens, reads and routes mail; screens and makes annotations as appropriate for Office of the President and/or minor administrative details.
- Answers phone, screens calls and handles customer service matters; responds or elevates matters as appropriate.
- Demonstrates aptitude and skills to handle upset/angry students or parents when the occasion arises.
- Provides direct assistance in project work; responsible for tracking a project from start to finish with minor supervision and oversight.
- Organizes department expense reports and institutional credit card reports proactively and promptly.
- Performs a variety of secretarial and clerical tasks and other duties as assigned. On rare occasion, acts as back-up Assistant to other academic departments on an as-needed basis.
- Catalogs President’s correspondence, where appropriate, for historical purposes.
- President’s travel responsibilities
- Proactively and effectively maintains the President’s travel software.
- Develops itineraries and agendas including scheduling flights, arranging other transportation and booking accommodations.
- General Office Operations
- Serves as front desk staff to the office of the President and Provost.
- Prepares confidential and general correspondence.
- Maintains inventory and orders office supplies for department.
- Oversight of the President and Provost’s Conference Room.
- Works with the Executive Assistant to maintain websites, including the President’s office, the cabinet, and other websites relevant to the President’s office.
- Maintains response records to meetings and events with follow up as needed.
- Provides support for the Board of Trustee meetings and commencement, as needed.
- Proactively generates letters to Presidential inaugural invitations and other general interest information.

Qualifications/Prerequisites:

- OFFICE ADMINISTRATION AND CLERICAL SKILLS
- Proficiency in balancing multiple as well as shifting priorities
- Good organizational skills with the ability to multitask in busy environment
- Problem solving and analytical skills
- Adept at handling and communicating upset or angry parent or student when occasion arises.
- In-depth working knowledge of MS Office, especially Word, Excel, Power Point, Office 365, Outlook calendar, and Sharepoint
- Demonstrated ability to learn process and procedures
- Demonstrated understanding of equity and inclusion and evidence of sensitivity to and understanding of diverse academic, socioeconomic, cultural and ethnic backgrounds
- An understand of or willingness to learn Wordpress
- Responsible for completion of the day-to-day administrative responsibilities

- Experience of three years of successful work supporting senior or executive level management.
- Prior experience working in higher education, preferred but not required.
