Responsible for organizing and maintaining smooth operational support services for day-to-day business; receiving, storing and maintaining an accurate inventory of equipment, publications and supplies; maintaining restroom and kitchen facilities; waxing and buffing floors; preparing setups for meetings and special events; wrapping and shipping of publications, control and maintenance of storage areas and mailroom, installation of variety of equipment, deliveries to various campus departments; scanning archival documentation into computer files.
Essential Functions
- Supervise daily operations of the Hunt Institute including day to day maintenance, enforcing safety regulations and standards, weekly inspection of the facility.
- Identify and report significant problems or major repairs.
- Monitor departmental temperatures and humidity using excel spreadsheets and mechanical software graphic reports.
- Supervise ongoing interdepartmental projects.
- Manage records of requests for repairs and installations.
- Responsible for coordinating event setup and break down for major events.
- Maintain, upkeep and update furniture, equipment and other related data files.
- Oversee domestic and international shipments as well as distributing incoming deliveries to all departments.
- Execute digitization of archival materials.
- Perform cleaning tasks such as floor care with the use of small and industrial equipment, removal of waste/recycling and other cleaning tasks.
- Provide general operations support; receive, inventory and store publications and supplies; oversee and install a variety of equipment, including computers, scanners, and photographic equipment.
- Carry out daily inventory checks and work with Director to ensure orders are submitted.
- Other duties as assigned.
Knowledge, Skills, and Abilities
Ability to interact and communicate well with members of the campus community, prioritize work and handle multiple tasks simultaneously and maintain accurate and detailed records. Computer experience. Good
organizational, reasoning and problem solving skills. Ability to perform normal duties and responsibilities independently with the use of established procedures and policies. Refer difficult or unique situations to the supervisor.
Physical Characteristics
Finger agility; ability to push, pull and lift heavy boxes of publications, supplies, etc., as needed; ability to stand for long periods of time, ability to travel to various campus locations, to climb steps, to stoop, to reach, to bend at waist, to grasp, to move up to 50 pounds
Mental Qualifications
Ability to pay close attention to detail, to remain calm and composed when dealing with situations. Ability to work and solve problems independently; self-motivated; self directed; able to follow generalized directions.
Environmental Factors
Normal office setting; museum and rare book collection environment, may have to endure various weather conditions while traveling between locations.
Qualifications
- Minimum education: High school or equivalent combination of training and experience
- Minimum years of experience: At least one year experience in operation support.
- Preferred education: undergraduate degree.
- Preferred years of experience: Two years operations support
