The Administrative Assistant I, Data Entry Assistant will will be responsible for data entry into the HRCMS & Banner systems. They will also provide support to reporting requests as well as system and data maintenance. This position will also provide administrative support to HR Operations and Student Employment when needed.
SUPERVISIONRECEIVED: Assistant Director, Human Resources and Talent Management
TOUR OF DUTY: 8:45 a.m. – 5:00 p.m., Monday – Friday (with Saturday and Sunday as days off). (Subject to Change)
Responsible for all aspects of the data entry process for two HRIS systems (HRCMS & Banner) including, but not limited to system and data maintenance.
Communicate regularly with appropriate HR & Payroll staff to manage all pay actions for faculty and staff within the state payroll system.
Responsible for disbursing, collecting, verifying and processing all new hire paperwork adhering to state and federal guidelines – including, but not limited to I-9 Employment Verification
Confer regularly with Payroll staff concerning data entry and processing payroll activities within the proper payroll deadlines.
Coordinate the hiring process of part-time faculty and assist with contract acknowledgement.
Load part-time faculty and overload assignments into the Banner system & make adjustments/corrections.
Collect, review and process employee personal information changes.
Responsible for setting up SSTA and maintaining changes for timesheet authorization for all employees.
Communicate HR/CMS ID & SSTA training information with new hire and supervisor.
Provide OBRA retirement account assistance to part-time staff and coordinate OBRA termination correspondence.
Responsible for uploading, maintaining and auditing personnel documents for employees in BDMS.
Assist with data maintenance and auditing data to ensure accuracy.
Serve as backup to HR Operations staff, such as HRIS, Student Employment and Front Desk Reception when needed.
Provide administrative assistance to other functional areas of the Human Resources Office as needed.
Responsible for other projects and responsibilities as assigned

Applicants must have at least (A) two years of full-time, or equivalent part-time, experience in office management, office administration, business administration or business management, the major duties of which included one or more of the following functions: purchasing, personnel management, budgeting, accounting, records management, work simplification, grants management, contract administration or program management, (B) any equivalent combination of the required experience and the substitutions below.
I. An Associate's or higher degree with a major in business administration, business management or public administration may be substituted for the required experience. II. An Associate's or higher degree with a major other than in business administration, business management or public administration may be substituted for a maximum of one year of the required experience.
