The Assistant Director for Housing & Operations assists in the overall management of the residence hall housing selection and assignment process and is directly responsible for maintaining residence hall key distribution, tracking, and auditing systems, coordinating University break housing and early arrival needs, facilitating room changes during the academic year, and the direction and supervision of summer operations initiatives. Additionally, this position provides direct supervision to 1-2 Residential Area Managers. This position, in collaboration with the Associate Director, will serve as a department liaison to facilities, housekeeping, public safety and security, dining services, and other auxiliary service areas. This position works collaboratively with the hall-level staff and provides assistance and support within the Residence Life leadership team for long- and short-range planning and assessment. The Assistant Director for Housing & Operations is a live-on position with on-call duty responsibilities. Housing Selection - In collaboration with the Associate Director, coordinates housing selection processes, specifically including the development of a communication strategy and marketing to students; serves as the clearinghouse for all questions related to the housing selection process.
- Administers the residency requirement/housing agreement release process; manages and collaborates with both students and the Housing Review Committee to review and assess requests to release students from housing requirements/agreements.
- Assist with the management and maintenance of the Residence Life webpage and housing portal, which includes reviewing and developing dynamic building information, resources, and floor plans.
- When occupancy permits, assist in the recruitment of junior/senior students and other unique populations to maximize on-campus occupancy as needed.
Summer and Transitional Housing Operations - Work collaboratively with facilities and housekeeping partners to ensure successful building turnovers throughout summer and other semester transition periods.
- Liaise with the Conference and Event Services team to facilitate transitional tasks, including summer and fall turnover, key audits, occupancy changes, etc. This includes attending weekly planning meetings with partner teams from April – August.
- Manage all housing aspects of the summer Orientation program, including room assignments, check in /out process, key distribution/collection, etc.
- Liaise with the athletics program to develop and implement housing details of full-scholarship athletes.
- Manage the hiring and supervision of undergraduate summer operations staff who are responsible for executing identified summer housing initiatives.
Off-Campus Housing - Maintain off-campus housing resources including the maintenance of web content, the off-campus housing portal, and annual housing fairs.
- Develop and maintain collaborative relationships with partnering university offices, off-campus vendors, property managers and neighbors and Off-Campus Partners, LLC.
- Lead departmental efforts in developing additional educational resources and programs for the student transition from on-campus to off-campus living.
Damage Billing Processes - Manage and track the maintenance and upkeep of the University residence halls and furnishings, including student/community notification of damage and billing.
- Implement ongoing and end-of-semester damage billing processes to recuperate costs due to student damage.
- Communicate regularly with management of master lease properties, particularly regarding damage billing and facilities concerns.
Scheduled Operations - Facilitate scheduled room change processes during the academic year; manage all administrative room changes outside of established timelines.
- Manage the maintenance and furniture needs of live-in professional staff members as well as the move in/out process for staff.
- Coordinate break housing processes, including University breaks during academic year and all fall/spring early arrivals including pre-season athletes, orientation and first year students.
- Serve as liaison to Administrative Services and Public Safety partners to ensure compliance with residential life-safety requirements. Plan and implement supervised residential fire drills throughout the year.
- In collaboration with the Residence Life team, implement move-in and move-out of all residential areas on both the Hawk Hill and University City locations.
- Liaise with Admissions to plan and implement housing elements of student recruitment, tours, and student visit days throughout the academic year.
- Plan and spearhead small to medium building improvement projects and furniture purchases for the regular renewal of housing environments.
- Facilitate training of Residence Life staff members in technology and housing operations functions.
Daily Operations - Manage key inventory tracking and distribution systems for all residence hall keys.
- Develop and maintain communications regarding important dates and events for residential students and their families.
- Serve in shared 24-hour on-call emergency duty rotation support for RAM/RHM staff and serve as a departmental resource during student and/or housing emergencies.
