Stanford University has an immediate opening for a full-time Graduate Admissions Operations Coordinator in theOffice of Graduate Admissions, the operational backbone for campus-wide graduate admissions processes spanning more than 70 programs across five schools. Reporting to the Graduate Admissions System and Operations Manager, this newly designed role will support central graduate admissions operations to deliver a seamless experience for applicants and improve graduate admissions workflow, production, efficiency, and effectiveness for departmental staff and faculty.
This position is integral to creating a welcoming and helpful space for prospective Stanford graduate students and the schools, departments, and faculty that support them. The role is responsible for making recommendations and first-level decisions on issues regarding admission, using defined policies and practices and professional knowledge, and working on problems of moderate complexity where analysis of situations or data requires a review of a variety of factors. In this role, you will:
Evaluate domestic and international post-secondary academic credentials, independently applying University admission policies; ensure the validity of academic records and degrees; make final decisions regarding applicants' eligibility for admission.
Investigate issues with applicant records, researching information in multiple systems and consulting with Student Information Systems analysts and other departments as needed to resolve the root issue.
Review and make final decisions on applicant requests for fee waivers, TOEFL waivers, and other exceptions to university admission requirements.
Provide advice to applicants and department staff on graduate admissions processes and policies ranging from routine to moderately complex. Escalate more complex issues as needed.
Provide first-line response to applicants and troubleshoot time-sensitive issues raised by applicants.
Oversee and administer non-matriculated student applications and records and develop recommendations for streamlining non-matriculated student processes. Serve as subject matter expert for department staff regarding the varied policies and processes for non-matriculated programs. Interpret policies and counsel departmental staff who support non-matriculated students and programs.
Triage incoming emails and service tickets from applicants, recommenders, and department staff. Consult with staff in departments and schools to bring moderately complex application and matriculation issues to a full resolution.
Develop recommendations and provide guidance to department staff on entering and interpreting graduate admissions data in PeopleSoft.
Write job aids to document evolving processes.
Analyze data from various service channels (ServiceNow, Slate Inbox, chatbot) to develop content for frequently asked questions and provide recommendations to improve website and application design.
Develop reports in Slate CRM on graduate application trends.
Participate in testing to assist with annual application updates and other processes.
To be successful in this role, you will bring:
Bachelor's degree and two years of relevant experience, or combination of education and relevant experience.
Strong written and verbal communication skills.
Basic computer skills, including experience with Microsoft Office Suite and Google Drive.
Basic analysis and problem-solving skills.
Customer service skills.
Relevant computer systems/technology experience.
Understanding of financial transactions.
Ability to learn and understand compliance with legal, financial, and university policies and external regulations.
In addition, preferred requirements include:
Familiarity with graduate admissions processes and best practices.
Proficiency with database/spreadsheet software.
Experience in academic credential evaluation.
Experience in Technolutions Slate CRM and PeopleSoft.
Working Conditions:
This position is currently designated as a hybrid role requiring a recurring on-site presence.
May work extended hours, evenings, and weekends.
