ADMINISTRATIVE ASSISTANT 2, Materials Science and Engineering (DMSE), to perform complex and diverse administrative duties for faculty and their research labs and serve as a member of the DMSE headquarters' (HQ) team, providing a wide range of administrative, financial, and human resources (HR) services. Responsibilities include ordering supplies and purchase orders using B2P; managing credit card charges; handling requests for payment; arranging travel; processing travel expense vouchers; assisting faculty with course preparation and maintaining teaching tools in a remote setting; working with DMSE HR on processing appointments and visas for visiting scholars/students; entering hourly student and temporary employee appointments; participating in quarterly financial meetings with HQ research administrator and faculty member, acting as liaison with DMSE finance staff if requested; greeting/directing visitors; acting as a resource for lab members regarding MIT-related issues; onboarding new group members; preparing correspondence and manuscripts; calendar management; coordinating meetings/seminars; responding to inquiries/telephone calls/visitors; maintaining office equipment and contracts; and other duties as assigned.
Job Requirements
REQUIRED: high school diploma or its equivalent; three years' direct/related experience in a professional administrative support position; strong interpersonal, organizational, problem-solving, and written and oral communication skills; tact, good judgment, and discretion with confidential information; attention to detail; initiative; proficiency with MS Word, Excel, and PowerPoint; ability to become proficient with databases, file sharing tools, remote teaching and communication tools, online scheduling software, web development, and applications such as Adobe Acrobat Reader. Must be able to interact effectively with a diverse group of research staff, students, and visitors; exercise independent judgment in a team-oriented setting; anticipate needs; and successfully balance and prioritize workload.
