ADMINISTRATIVE ASSISTANT 2, Earth Atmospheric and Planetary Sciences (EAPS), to provide comprehensive administrative support for faculty members and their research groups. Will arrange travel and process travel reimbursements; reconcile and monitor accounting statements for research grants and fund accounts; process procurement paperwork, credit card purchases, and requests for payment; process and track office/laboratory supply orders; perform event planning for seminars, group meetings, and special events; manage occasional field trips and workshops for a diverse group of travelers throughout the department and/or collaborators in other locations; handle mail collection/distribution and prepare and arrange express and freight shipments; maintain coffee room/library and supplies; coordinate office space assignments, signage, telephones, and mailboxes; coordinate appointments for employees and visitors with HR administrator; provide updates and edits to websites as assigned; oversee work orders for keys and facility repairs or cleaning; manage schedules and appointments for faculty members; and work closely with EAPS' headquarters team to accomplish business tasks, including special projects and other administrative assistance.
REQUIRED: high school diploma or its equivalent; at least three years of administrative, office, or related experience; Proficiency with Microsoft Office (Word, Excel, PowerPoint) and ability and willingness to learn new software; excellent verbal and written communication skills; proactive approach to workload and workflow; and the ability to work as part of a team. Seek a highly-organized individual who is able to maintain a high degree of accuracy while prioritizing competing demands and adhering to tight deadlines. Must possess initiative and the ability to work independently to solve problems with minimal supervision.
