About the Position The Division of University Advancement's primary purpose is to enhance the private support and knowledge of the university. University Development manages programs, events, and activities that stimulate the involvement and interest of alumni, friends, parents, corporations, and foundations to develop relationships that cultivate and foster relationships and stimulate giving to the university. University Advancement manages the operational requirements of the Cal Poly Pomona Philanthropic Foundation.
The Assistant Vice President for Operations (AVPO) is trusted, and senior staff supports the Vice President for University Advancement in addressing high-level issues, policies, and strategic planning. The AVPO addresses issues and works across divisions, community and alumni constituencies, and members of the Cal Poly Pomona Philanthropic Foundation (CPP-PF). In addressing these issues, the AVPO must evaluate and carefully consider each constituent s interest and develop a plan that best meets the university s objectives.
Office of the Vice President - Manage the Vice President staff: Division Budget Analyst and Advancement Operations Coordinator.
- Manage the Office of Donor Relations and Stewardship Staff: Director of Donor Relations & Stewardship and Donor Relations & Philanthropic Funds Specialist
- Manage the Department of Advancement Services: Ex. Director of Advancement Services oversees the staff directly reporting to the Ex. Director of Advancement Services. Serve as senior staff support to the VP in addressing high-level issues, policies, and situations.
- Develop action plans to resolve situations that involve cross-division issues, academic colleges, university board volunteers, and auxiliaries
- Analyzes high-level issues and advises the VP on immediate, short-term, and long-term strategies; problem solves; raises issues; and evaluates complex subjects by integrating knowledge of the VP s goals and management style, campus unit operations, and CSU policies and procedures.
- Responsible for overseeing all functions related to various incoming and outgoing communications, on behalf of the VP, to specific senior management team members.
- Provide oversight of VP s events and correspondence; prepares and edits speeches, presentations, other high-level leadership and strategic communication, and collateral materials.
- Direct and oversee VP s senior management team meetings and reporting on progress toward annual work plans.
P
hilanthropic Foundation (CPP-PF) Planning and Coordination - Provide leadership in the planning, implementing, and evaluating of the annual calendar of committee meetings and event celebrations for the CPP-PF. Work with VP and Board Chair to:
- Manage the entire process to conceptualize goals, conduct planning meetings, and establish timelines
- Create meeting agendas, provide speaking points to the chair as well as research and develop materials for distribution
- Direct and perform the scheduling, organizing, and overseeing of all logistical arrangements for each meeting or event. Responsible for reconciling the vision. Mission, and strategic plan goals of the CPP-PF
- Responsible for reconciling the vision. The CPP-PF committees' mission and strategic plan goals to ensure that the individual goals are congruent with the University Strategic Plan. Ensure that activities are coordinated, efficient, and effective in moving the CPP-PF towards its vision and mission
- Meet with the officers and directors of the Foundation and University officials to complete Board business and to maintain effective relationships with the directors and university constituencies.
- Direct the maintenance of the corporate records to ensure that complete copies of all meeting agenda items and meeting minutes are adequately archived to document Board activity and disseminated to board/committee and campus partners.
- Works with VP and senior development officers in strategizing, coordinating, and tracking major donor gifts and initiatives involving the University President of VP.
- Works with the President s Office, Academic Deans Offices stewarding high-level donors, including members of the CPP-PF Board of Directors and donor community
Operational Responsibilities: - Operational responsibilities include, but are not limited to:
- Develop and implement administrative systems and operational protocols for the development and maintenance of an office unit designed with a commitment to the ideals and values of high efficiency, customer-service-driven operation
- Financial responsibilities to include the development, implementation, and maintenance of appropriate financial control and the management of resources as it relates to the business operations
- Continue to enhance transparency on performance and progress with the use of dashboards and other reporting
- Promote and assist in the training of the University Advancement staff
In collaboration with the senior management team and human resources staff, the AVPO evaluates departmental staff engagement and development needs and implements programs designed to address these needs.
Coordinates quarterly all-staff meetings and other training as necessary and attend selected meetings as VP s representative.
Works to ensure prospect guidelines and protocols are followed, including prospect assignments and regular updating of the database by alumni and development staff
Key Qualifications - Bachelor's Degree from an accredited university.
- Five years of progressively responsible experience in university advancement management addressing high-level issues, policies, strategic planning, and analytics.
- Ability to be an effective team builder and maintain positive work relationships, on and off campus, with a population of diverse and ethnic cultural backgrounds.
- Possess effective interpersonal and communication skills to motivate and inspire staff, volunteers, donors, and others to achieve their maximum potential.
- Must be able to implement and provide oversight of major gifts and stewardship of the same.
- Must demonstrate accepted business and professional etiquette in all dealings with a diverse population of constituents and colleagues, reflecting the highest standards of professional integrity, work ethics, and conduct.
- Ability to evaluate and carefully consider each constituent's interest and develop a plan that best meets the University's objectives.
Preferred Qualifications - A Master's Degree from an accredited university
- Five to eight years of management or supervisory experience and project management experience
Salary and Benefits - Anticipated hiring range: $158,000 annually
