The Highlights Reporting directly to the LPC Business Manager, the Receptionist is responsible for managing the front desk operations for the LPC Facility Operations Office.
Is This You? - Communication
• Receives general phone calls to Facility Operations, assigning calls to the appropriate resource person.
Assists vendors/visitors when they arrive in the FO Office.
• Accepts emergency calls and makes necessary contact with appropriate Facility Operations, Public Safety, and Occupational Health & Safety personnel.
- Reports and Database Maintenance
• Acts independently and maintains the Hot/Cold Log database, this includes compiling reports which get distributed to the Trades Manager and Director.
• Responsible for the Maintenance of the Elevator Log database, this includes reconciling the calls with the reports from the Elevator company and distributing reports as required.
• Enters Workorders on a daily basis for the Night Custodial Staff.
• Maintains and reconciles the Leak Call Log and distributes reports on a weekly basis.
• Reconciles Gas Receipts from Trades and Custodians.
• Assists the Accounting staff with various duties, which include maintaining the Utility logs, reconciling the Access database with the Mobius reports.
• Responsible for updating & maintaining the Vendor Agreements and Certificate of Insurance for the LPC Campus.
- Administrative Duties
• Maintains office supply levels and replenishes as needed.
• Scans all paid invoices into the ImageNow system.
• Responsible for the distribution of departmentally requested keys, as well as the tracking of keys distributed to contractors.
• Types and distributes various Facility Operations office communiqus as requested by the Vice President, Director, and/or Managers.
• Photocopies, scanning and faxes as directed by the Director and/or Managers.
• Sorts and distributes all Facility Operations mail.
• Participates in the overall team effort and quality of service towards the efficient operation of the Facility Operations office.
- Performs other duties as assigned.
Your Education - High school degree or equivalent required. Minimum 2 years general office experience.
Other Skills & Abilities Required - Good organizational skills
- Good verbal and written communication skills
- Working knowledge of personal computer systems
