CLINICAL TRIALS OFFICE (UA-CLTO-IUINA)

The CRMS Study Coordinator will work closely with Office of Clinical Research (OCR) Clinical Research Management System (CRMS) Study Specialists and other members of the OCR Research Systems team to create and implement study-specific projects. This primarily includes, but is not limited to development, creation, and maintenance of protocol-specific study calendars built for use in subject visit tracking, financials management, research billing, coverage analysis, specimen tracking, and clinical study data capture.

Department-Specific Responsibilities

• Provides user support to research personnel in regards to study calendar utilization as well as basic OnCore functionality and processes.
• Collaborates extensively with study teams, data managers, clinical staff, and financials staff, and a general understanding of clinical research processes.
• Works closely with Office of Clinical Research (OCR) Clinical Research Management System (CRMS) Study Specialists and other members of the OCR Research Systems team to create and implement study-specific projects. This primarily includes, but is not limited to development, creation, and maintenance of protocol-specific study calendars built for use in subject visit tracking, financials management, research billing, coverage analysis, specimen tracking, and clinical study data capture.
• Responsible for attending project meetings, creating project documentation, protocol analysis and system entry, as well as assisting with general administrative support.

• Reviews study information submitted to the Office of Clinical Research (OCR) and creates protocol entries in OnCore based off the information provided.
• Conducts thorough analysis of research protocols to determine required visits and procedures needed for calendar creation.
• Creates and amends study-specific calendars in the OnCore CRMS.
• Meets with clinical research coordinators, business managers/financials staff, biostatistics data managers, and/or lab staff to discuss functionality of OnCore calendars and ensure study-specific needs are met.
• Works closely with the OCR Finance and Coverage Analysis Team to ensure OnCore calendar builds meet coverage analysis and research billing needs.
• Monitors progress of projects to ensure that quality constraints and timelines are met.
• Provides ongoing instructional guidance, training, and support for various levels of research personnel.
• Responsible for reporting and documenting project milestones to share with leaders, stakeholders, and/or project partners.
• Responds to inquiries of ranging complexity from faculty and staff regarding clinical research management and processes related to OCR Research Systems.
• Assists other OCR Research Systems team members with varying projects as needed.

General Responsibilities

• Works closely with IT project management specialists and leaders to create an overall project plan.
• Attends project meetings, records minutes and documents discussion items, assists with general administrative support related to project(s).
• Monitors progress and reports milestones hit/missed against project deadlines; measures performance of project staff in achieving project goals and provides reports on a monthly basis.
• Compiles data for quarterly, bi-annual, and annual project reports as needed.
• Tracks and monitors project budgets; reviews and analyzes financial documents and records; recommends action as needed to meet university policies and procedures; prepares necessary budget or financial reports.
• Works with administrative and/or events planning staff to help plan and coordinate logistics associated with events as needed; coordinates on-site execution of event set-up and related activities; participates in event budget planning and development.
• Responsible for creating and managing various communication channels (web sites, social media presence, external promotion of events, etc.).
• May act as a lead to less experienced administrative staff, project management coordinators, and/or hourly support.

EDUCATION

Required

• High school diploma or GED

Preferred

• Bachelor's degree in a related field

WORK EXPERIENCE

Required

• 4 years of project and/or program administrative support experience

This role requires the ability to effectively communicate and to operate a computer and other standard office productivity equipment.
