Job SummaryJoin our groundbreaking research teams in the Labs of Cognitive Neuroscience (LCN) at Boston Children's Hospital. The Administrative Associate II position offers an exciting opportunity to be involved with the day-to-day operations of a cutting edge developmental research operation, providing administrative support for all four labs within the LCN, while working closely with the Program Manager and Division of Developmental Medicine. The position requires flexibility, creative problem-solving and the ability to learn new software and systems as needed. Our Administrative Associate is the go-to person for researchers and staff within our labs: strong interpersonal skills and the ability to juggle multiple priorities are essential.
The Administrative Assistant II:- Provides support to the Principal Investigators, research staff and trainees. Schedules appointments and meetings, reserves meeting locations, prepares agenda and other materials. Assists in organizing and scheduling conferences, seminars and other department sponsored programs or events, organizes and orders refreshments. Orders supplies and equipment and processes reimbursements for faculty and staff. Prepares travel arrangements as necessary.
- Responds courteously to research participants/families, visitors and staff via phone and email. Provides routine and/or standardized information within scope of knowledge and authority. Drafts responses to routine correspondence.
- Maintains departmental files, records and databases. Enters information from source documents into databases and/or spreadsheets, compiling, printing and distributing reports, mailing labels and other information as needed.
- Prepares documents, correspondence, forms, reports, manuscripts, educational and other materials involving complex scientific, technical and/or specialized terminology from rough draft, using Powerpoint and other standard office software. Proofreads and edits materials for grammar, punctuation and spelling.
- Monitors and maintains office equipment and supply inventory. Reorders supplies and requests equipment repair services. Communicates with hospital support service departments to request needed services.
- Prepares, routes and tracks routine administrative forms and documents. Routes materials for required authorizations and monitors receipt by final destination. Communicates with other hospital departments to resolve delays and errors.
- Performs routine clerical duties, such as opening and sorting mail, delivering and retrieving patient records, photocopying materials and sorting, collating and distributing documents.
- Provides positive and effective customer service that supports departmental and hospital operations.
To qualify, you must have:- High school level of educational development. One year of administrative experience preferred.
- Analytical skills and judgment to assess complex situations and take the appropriate action.
- Ability to communicate effectively both orally and in writing and provide empathy in difficult interpersonal situations.
- Ability to work independently and as part of a team.
- Outstanding organization and attention to detail.
Additional preferred qualifications:- Interest in neuroscience research and/or child development.
- Highly motivated and eager to learn.
